1. Who we are and what this covers
PeakRooms builds direct-booking websites for independent hotels, boutique hotels, villas, homestays, and serviced apartments. Property owners set up and manage their booking website at peakrooms.app, and guests visit the booking websites owners create at addresses like yourhotel.peakrooms.co.
This policy covers both groups. “Owners” are the people who run a property and hold a PeakRooms account. “Guests” are the people who browse a booking website and send a booking request. Where something applies to only one group, we say so.
2. Where your information is stored today
PeakRooms is in early access. Everything you enter today — account details, property setup, booking requests, and settings — is saved in your own browser on your own device. None of it reaches PeakRooms servers yet.
That has two practical consequences. We cannot see your information at all right now, and your information does not follow you across devices or browsers — clearing your browser's site data removes it completely.
The rest of this policy describes how we handle information once hosted accounts launch and data starts reaching our servers. We will update this policy, and the date at the top, before that switch happens.
3. Information owners give us
To create and run a booking website, owners provide:
- Account details — your name, your property's name, your email address, your mobile number, and your password. Passwords are stored only in protected (hashed) form once server accounts exist, never as readable text.
- Property profile — descriptions, room types, rates, amenities, photos and captions, and your property's location.
- Guest contact settings — the WhatsApp number and reservations email you choose to show guests.
- Team invitations — a colleague's email address and the role you give them.
- Notification choices — where booking alerts go and how often you want summaries.
- Payment setup choices — which payment provider you picked and your deposit and refund rules. Card numbers and payout details never pass through PeakRooms; they stay between you and your payment provider.
4. Information guests share
- A booking request includes the guest's name, stay dates, party size, room preference, and an optional message.
- Guests can choose to add an email address or phone number so the property can reply directly. Both are optional.
- The request goes to the property the guest contacted — and to no one else.
PeakRooms does not message guests for marketing, build advertising profiles of guests, or share guest details with other properties.
If a property turns on card payments, guests enter card details directly with that property's payment provider. PeakRooms never sees or stores card numbers.
5. How we use information
- Run your booking website and show guests exactly what you chose to show.
- Deliver guest booking requests to you, along with the notifications you turned on.
- Answer support questions — looking only at what is needed to solve the problem.
- Keep the service safe: prevent fraud and abuse, and fix failures.
- Improve PeakRooms using overall usage patterns rather than anyone's personal details.
6. What we never do
- Sell or rent personal data — yours or your guests'.
- Share guest details with advertisers, data brokers, or other properties.
- Send our own marketing to your guests.
- Put advertising trackers on your booking website.
7. When we share information
- Service providers — companies that help us run PeakRooms, such as hosting and email delivery, plus the payment provider a property chooses. Each receives only what it needs to do its job.
- Legal requirements — if the law requires disclosure, or to protect guests, owners, or PeakRooms from fraud or abuse. We share the minimum and tell you when the law allows us to.
- At your direction — for example, when an owner replies to a guest over WhatsApp or email, that conversation happens on those services under their own terms and policies.
8. Owners' responsibility for guest details
Owners decide how to answer each booking request. Once an owner copies guest details outside PeakRooms — into a message, a spreadsheet, or another tool — the owner, not PeakRooms, is responsible for handling them with care.
Our Terms of Service hold owners to a simple rule: use guest details to handle the guest's stay, and for nothing else.
9. Cookies and tracking
PeakRooms sets no advertising cookies and uses no third-party analytics today. We use your browser's storage for things the product needs to remember: your theme choice, your signed-in state on this device, and your setup progress.
If we add measurement later — for example, visit counts for your booking website — we will update this policy first and choose privacy-respecting measurement that does not follow people around the web.
10. Keeping and deleting information
We keep your information while your account is active. Delete your account and your property data and booking history go with it, except where the law requires us to keep specific records — for example, billing records once paid plans exist.
While PeakRooms is in early access, deletion is even more direct: your information sits in your own browser, so clearing site data on your device removes everything.
You can also email hello@peakrooms.app at any time and we will delete what we hold about you.
11. How we protect information
Once data starts reaching our servers, we will protect it with encryption in transit, hashed passwords, and strict limits on which people and systems can access what.
No system is perfectly secure. If a breach ever affects your information, we will tell you promptly and plainly — what happened, what was affected, and what we are doing about it.
12. Your rights
You can ask us, at any time, to:
- Show you the information we hold about you.
- Correct something that is wrong.
- Delete your information.
- Hand over a copy in a portable format.
For two of these you don't have to ask anyone: Settings → Account lets you download a complete, portable copy of your data and delete your account yourself, right now. For a correction or anything else, email hello@peakrooms.app — no forms, no hoops, and a person answers within 30 days. If you are unhappy with our answer, you can complain to the data-protection authority in your country.
Guests can also contact the property directly, since the property holds their booking request.
13. Children
PeakRooms accounts are for adults running accommodation businesses, and booking websites are not directed at children. When a family stay includes children, the booking request comes from the adult making it.
14. Changes to this policy
When this policy changes, we update the date at the top. For changes that matter — new data we collect, new ways we share it — we tell owners in the product or by email before the change takes effect.
